Who is responsible for your data

MLJ, SASU is the controller of the personal data collected through chapterduesapp.com. The publication director is Jimenez Julien. You can reach a person about anything on this page at jimenezjulien42@gmail.com. This policy covers the marketing website you are reading now. Personal data that a chapter enters into the ChapterDues application about its own members is handled under the customer agreement described in our terms of service, where the chapter is the controller and MLJ, SASU acts as its processor.

What the contact form collects

The request form on the home page collects exactly the following fields, and nothing else: name, your full name; email, your work email address; company, the name of your chapter or association; role, the office you hold, chosen from a fixed list; request, the type of request you are making, chosen from a fixed list; size, the size band of your roster, chosen from a fixed list; message, your free text description of your dues year; and consent, your confirmation that we may contact you and store the submission. Three hidden fields travel with the form for routing purposes: form-name, subject and recipient. A honeypot field named bot-field is present to catch automated submissions and is expected to remain empty.

We do not ask for a postal address, a telephone number, payment details or any information about individual members of your chapter. Please do not paste a member list into the message field. If you need to show us a roster, we will arrange a secure way to do that during a walkthrough.

Why we process it and on what legal basis

Your submission is used for one purpose: to answer your request, prepare a walkthrough or produce a quote. For visitors in the European Economic Area and the United Kingdom, the legal basis is your consent, given through the checkbox on the form, together with our legitimate interest in responding to a business enquiry addressed to us. For visitors in the United States, the submission is processed to provide the service you asked for. We do not use these submissions to build advertising audiences, we do not enrich them with data bought from brokers, and we do not add you to a newsletter unless you write to us and ask to be added.

How long submissions are kept

Contact form submissions are retained for twenty four months from the date of the last exchange between us, then deleted. If your request leads to a subscription, the correspondence is retained for the life of the account and for the period required by French commercial and tax law, which is ten years for accounting records. You may ask us to delete your submission sooner at any time and we will do so unless a legal retention obligation applies.

Who processes the data with us

Form submissions are transmitted, processed and stored by Netlify, Inc., 512 2nd Street, Suite 200, San Francisco, CA 94107, United States, which hosts this website and operates the form handling service. Netlify acts as our processor under a data processing agreement. We also use an email provider to read and reply to your message. No other party receives your submission. We do not sell personal information, we do not share it for cross context behavioral advertising, and we have never received a request to do either.

Cookies and analytics

This website sets no advertising cookies and no third party analytics cookies. There is no tracking pixel, no advertising tag and no session recording. Web fonts are loaded from Google Fonts, which receives the network request necessary to serve the font file. Our host keeps standard server logs containing the requested address, a truncated network address, the referring page and the browser identifier, for security and troubleshooting, and those logs are discarded on a rolling basis.

International transfers

Because our host is established in the United States, personal data submitted through this website is transferred to and stored in the United States. Where the transfer concerns a person in the European Economic Area or the United Kingdom, it is made under the European Commission standard contractual clauses incorporated in our agreement with the processor, together with supplementary technical measures including encryption in transit and at rest.

Your rights

If you are a resident of California, Colorado, Connecticut, Utah or Virginia, you have the right to know what personal information we have collected about you, to obtain a copy of it, to correct it, to delete it, and to opt out of any sale or sharing of personal information and of targeted advertising. We do not sell or share personal information and we do not conduct targeted advertising, so the opt out is satisfied by default. You also have the right not to receive discriminatory treatment for exercising these rights, and, in California and Colorado, the right to appeal a refusal by writing to the same address.

If you are in the European Economic Area or the United Kingdom, the General Data Protection Regulation gives you the right of access, rectification, erasure, restriction of processing, portability of the data you provided, and objection to processing based on legitimate interest. Where processing rests on consent, you may withdraw that consent at any time without affecting the lawfulness of what was done before. You also have the right to lodge a complaint with your national supervisory authority, which in France is the Commission Nationale de l'Informatique et des Libertes.

How to exercise your rights

Write to jimenezjulien42@gmail.com with the email address you used on the form and tell us what you want done. We reply within thirty days and usually within two business days. We may ask one question to confirm that you are the person who submitted the form, and we will not ask you for identity documents.

Children's privacy

ChapterDues is a professional tool sold to chapters and associations, and this website is not directed to children. We do not knowingly collect personal information from anyone under sixteen years of age. If you believe a minor has submitted information through this site, write to us and we will delete it promptly.

Security

Traffic to this website is served over encrypted connections. Submissions are stored encrypted by our processor, and access is limited to the publication director and to the person handling your request. We keep no copies of form submissions on personal devices, and access to the reply inbox is protected with two factor authentication.

Changes to this policy

If this policy changes, the revised version is published on this page with a new date at the top. Material changes affecting how existing submissions are handled are announced by email to anyone with an open request. This version is dated September 4, 2026.
